The best approach is to inform everyone beforehand about your intention to capture the meeting and explain how the recording will be used. At the start of the Microsoft Teams meeting, remind participants about the benefits of recording the discussion and how it can be advantageous to have an automatic transcription available for the whole team.

A. How to Manually Record a Teams Meeting
Step 1: Open Microsoft Teams to start or join a Teams Meeting
Step 2: Find the meeting controls bar at the top of your screen and click on the More Actions button (three horizontal dots on the right side of your screen).
Step 3: Choose the Start recording option.
As soon as you do that, a notification will promptly appear for all the other participants in the meeting, kindly informing them that the session is being recorded.
NOTE: You won't be able to make more than one screen recording of the same meeting simultaneously. Once someone starts recording a meeting, that recording will be saved in the cloud and accessible to all participants.
Step 4: To end the recording, simply follow step 2 again and choose the option to Stop recording.
NOTE: The recording feature remains active even if the person who started it leaves the meeting. Additionally, the recording will automatically stop as soon as everybody has left the Teams meeting. In case someone forgets to exit the meeting, the recording will stop automatically after four hours.
Where Do Teams Recordings Go?
Where your recorded meetings are stored depends on the type of meeting you had. Let's break it down:
- If you had a channel meeting, the recording will be stored on SharePoint.
- For all other meeting types except channel meetings, the recording will be stored on OneDrive.
- If the meeting takes place on a channel, you will find the recordings in the meeting chat or channel conversation.
How to Manage the Expiration of a Teams Meeting Recording?
Microsoft Teams meetings have an expiration date, and for a good reason: to protect your sensitive information. Before a meeting recording gets deleted, both you and team members will receive a heads-up.
However, there is a way around this, since you can adjust the expiration date. Simply navigate to the Details page by either clicking on the recording itself or selecting the Helpful Info icon. Alternatively, you can also find the recording on SharePoint or OneDrive, and from there, click on Details.
On the Details page, you'll come across a drop-down menu that provides an option to modify the expiration date on your video. In case you want to keep your recordings forever, you have the option to completely eliminate the expiration date.
Understand the Limitations of Microsoft Teams Recording
There are a few more things you should be aware of before using the built-in recorder, namely:
- Before recording the meeting, participants must obtain consent from the organizer
- Whiteboards and shared notes will not be included in the recording
- The duration of a single recording is limited to four hours
- You can’t record more than four participants’ video streams at once

- If any of the attendees have a policy regarding compliance recording, the meeting will be recorded based on that policy, regardless if that attendee is from a different organization.
